Meeting Minutes

February 4th, 2003

  1. Call to Order (7:00 PM): Bob Eva
    • Explanation of meeting focus
      1. Primary purpose is to complete the ARC document at this meeting
  2. Secretary's Report: David Hutchison
    • Reading of the January 2003 Minutes
    • Revised "New Business" process
      1. If you have items discussion topics you wish to bring up in a monthly meeting, please contact David Hutchison at least two weeks prior to the meeting to get on the agenda. This will help keep the meetings organized and on track with scheduled topics, which will allow us to transact business in the limited time we have each month. We are trying to be respectful of everyone's time and give them equal consideration.
    • Speed Bumps on Pittsburg Place
      1. The City of BA approved the speed bumps on November 19, 2002. We are on the list to begin as soon as the weather improves - the temperature must stay above 45 degrees for several days. Construction is expected in the next 30-60 days. We will have four speed bumps installed in front of the following Pittsburg Place addresses: 806 - 906 - 926 - 1018.

  3. Treasurer's Report: Joe Doemeier
    • Dues Update
      1. Deposited the dues for 132 properties, which puts us approximately half-way there
      2. 16 additional checks in the mail today
      3. Expect many will arrive by the 15th based on confusion generated by the web site
    • Brief Financial Update - as of Jan 31, 2003
      1. Point brought up to consider placing some portion of savings in CDs

  4. Committee Updates
    • Beautification
      1. Sprinkler system damaged by the City, not wanting to help recover the cost. Bob wants to send a letter to the City regarding the damages and the poor service we receive. Current councilman is Craig Thurman. Unanimous motion was made to support the letter.
      2. Trees for the park and a memorial plaque for Jerry Hammons are actions items for the next 30-60 days.
    • Neighborhood Relations
      1. Welcome Packets - there are only two new properties that have not received Welcome Packets. In both cases the new owners have not yet moved in.
      2. Flood Zones - the City of Broken Arrow intends to submit a multi-plat LOMA (Letter Of Map Amendment) request to FEMA by the end of this month. As I understand it, there are four or five properties within Vandever Trails that are improperly listed with FEMA as lying within a flood plain. Upon receipt from FEMA of the LOMA (expected by the end of April), the City should be providing each affected resident with a copy. If the resident's mortgage servicer is requiring flood insurance, the LOMA will allow cancellation of this requirement. The lender should provide a written release, which upon presentment to your insurer obligates them to refund the "cost of insurance" portion of past premiums paid!
    • Neighborhood Watch
      1. Going to need a total of 15 Block Captains for the neighborhood. Recognition given to V. Eva for her efforts in handling out all the packets in her area.
      2. Question regarding note in the bill regarding need for Neighborhood Watch due to gunshots. Explanation given regarding known events in the neighborhood.

    • ARC Guidelines - final revisions by Mark Davis

    • Bob Eva - look at donating to the school for new playground equipment
