Meeting Minutes

October 7, 2008

  1. Meeting called to order at 7:03 by President, Jim Weir.
  2. Jim reported the car that hit the median at the entrance to the subdivision had a stolen license plate so we will be responsible for replacing the light and flagpole. He is checking costs. Marion Dyer, Attorney for Vandever Trails, reported 15 letters had been sent to homeowners with past due accounts. If payment is not received within 30 days, small claims actions will be filed against all remaining accounts of 2 years.
  3. Linda Dyer, acting vice-president reported 1 new shed (owner has been contacted and will remove the shed). The 2 sheds reported in September have not been removed and action will be initiated against the homeowners. August web usage was 70 and September 45.
  4. Jana Mather, treasurer, reported $2,427.14 in checking; $11,022.47 in money market checking; and $8,426.70 in accounts receivable.
  5. Linda Dyer, secretary, presented September minutes. Bruce Jones moved they be accepted, Gene Toni seconded, and minutes were approved.
  6. Tim Mather, Beautification Chairman, reported the September 27th garage sale went well, with 23 or 24 residents participating. A "No Fishing" sign will be posted at the pond until a trash issue can be resolved. At the present time, trash is being thrown in the pond. A basketball goal is on order for the playground. Linda Taylor suggested removing the curbing from some of the trees because the roots are breaking them. This will be done. The installation of a fence at the side of the pond area was discussed and was tabled.
  7. Jason Coan, Neighborhood Relations Chairman, reported 4 active listings by realtors and 3 "For Sale by Owner" in the subdivision. Two sales are pending. 18 homes have sold in the last 6 months at an average price of $81.00 sq. ft. and $146,967. Welcome packets are up-to-date. Fall newsletter will be distributed within the next 2 weeks.
  8. Officers nominated at the September meeting were presented for election. Jason Coan moved and Linda Taylor seconded the nomination of Bruce Jones for the open position of vice-president. Bruce's name was added to the list of nominees. Jason Coan and Linda Taylor seconded the election of the following officers for 2009:
    • President Jim Weir
    • Vice President Bruce Jones
    • Secretary Linda Dyer
    • Treasurer Jana Mather
  9. Those officers were elected by acclimation.
  10. Committee chairpersons nominated at the September meeting were presented for election. Bruce Jones moved and Linda Taylor seconded the election of the following chairpersons for 2009:
    • Beautification Tim Mather
    • Neighborhood Relations Shannon Myers-Coan and Jason Coan
  11. Committee chairpersons were elected by acclimation.
  12. Questions and Comments from the Floor:
    • A homeowner who has been sent a letter notifying them they must remove their shed spoke in defense of the shed. Because the prohibition of sheds is contained in the restrictive covenants and because a change in the restriction of sheds was soundly defeated in 2007, no sheds can be permitted to stay in the subdivision. Legal action will be sought if the sheds are not removed.
